Position Description

The Director of the Project Management Office plays a critical role in the development and operations of a new Project Management Office. This office is responsible for managing and executing complex projects and technology initiatives in support of CU Advancement. CU Advancement will launch their new Salesforce CRM called CU Ascend in summer 2022 and are in active planning phases for a robust new governance and service infrastructure to deliver quality technology to approximately 350 staff across four CU campuses, System, and the CU Foundation.

CU Central Advancement is seeking a candidate who has the skills, expertise, servant leadership style, positive energy, ability to adapt and desire to help us implement and refine this new model where outstanding project management and delivery of a backlog of business critical and necessary projects are paramount to our success. System Advancement has a goal to scale project management support across non-technical areas of the organization and the director will help to inform the structure and resources needed to achieve this goal.

The Director of the Project Management Office will provide leadership and oversight for highly complex projects, coordinating the efforts of multiple System Advancement teams. This position will provide dedicated support to CU Advancement mostly focused on managing, executing, and completing impactful projects but may support other functions. The successful candidate will be enthusiastic, proactive, dynamic, and able to build strong and positive relationships with stakeholders.

This position reports to the Senior Director of Service Delivery and Program Management and is exempt from the State of Colorado Classified Staff system.

Duties and Responsibilities

Duties and responsibilities of the position include, but are not limited to:

Project Management

Manages the Project Management Life Cycle from beginning to end and communicates frequently with stakeholders and project teams to ensure buy-in
Develops short- and long-term project goals and objectives
Maintains an ongoing calendar of the various CRM projects and associated timelines to manage workflow effectively and proactively for on-time and on-budget execution
Supports the execution of projects within approved budget and plans, provides communication of project status to relevant stakeholders, confirms action plan for project
Drafts scopes of work, documented quotes, requests for proposals and change requests for vendors when relevant and maintains a strong partnership with the budget and finance team on the financial elements of a project
Defines project management tools and metrics to ensure effective reporting
Participates in Agile meetings to include Back Log Grooming, Sprint Planning, Standups and Retros
Maintains proficiency and acquires knowledge by reading trade journals, attending conferences, seminars and classes, participating in discussions with colleagues, peer institutions and consulting with vendor

Collaboration and Leadership

Serve a strategic and tactical leadership role in System Advancement’s technical service delivery, project management and governance model in close coordination with the CRM lead role and Senior Director of Service Delivery and Program Management
Oversees Project Managers in the Program Management Office (PMO) with developing solutions to issues and creating efficiencies
Oversee a minimum of one project manager in the first year of the program with anticipated growth in subsequent years budget dependent
Provides guidance, leadership, and mentoring for staff by establishing the strategic direction of the team, establishing work plans for project activities, and establishing goals for employees
Observes project team dynamics to ensure effective team member collaborations and to resolve obstructions
Serves as a liaison between Advancement leadership and project teams on key projects
Oversees the gathering of project requirements before presenting project proposals and plans to Advancement executives and governing committee
Promotes projects during governance decision making
Manages projects with consideration to the budget of CU Advancement and collaborates with relevant administrative units to manage transactions and the project budget
Manage vendor relationships and budgets on outsourced project resources

This position has the ability to work a hybrid work structure (part work from home, part in office) or 100% remote. What we offer:
Salary: The anticipated hiring range has been established at $105,000-$120,000.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

Knowledge, Skills, and Abilities

To be successful in this position, candidates will need the following:

Strong experience with project management software tools, methodologies, and best practices.
Excellent time management skills.
Ability to make sound decisions and solve problems.
Knowledge of Agile-style project management methodologies (Scrum, Kanban, etc.)
Ability to work independently and under pressure, to manage concurrent tasks and responsibilities, and to deal with changing priorities, while maintaining personal effectiveness
Ability to complete thorough and accurate research and appropriately apply to projects assigned.
Understanding of a complex and matrix budget structure
Ability to establish and maintain good working relationships with co-workers, supervisors, other University Personnel, and the public
Skilled in effective communication, collaboration, and problem-solving
Ability to utilize a central project tool with exposure to workflows, central templates, resource reports, and timeline functionality (e.g. Salesforce TaskRay, Agile Accelerator, Trello)
Ability to define and provide accurate, understandable, and useful metrics/reporting on sprint performance and progress toward release and launch plans, utilizing those metrics to provide feedback, demonstrate performance, and drive progress
Knowledge of University Advancement and Development operations and budgets.

Qualifications

Minimum Qualifications:

Bachelor’s Degree from an accredited institution of higher education or equivalent professional experience (the educational requirement may be substituted by professional experience on a year for year basis).
Five (5) years of Project Management experience in an IT domain, which must include:
Experience managing large-scale projects across multiple organizations, departments, or working groups
Experience working with and facilitating interactions between executive level management, mid-level managers, and project teams facilitating planning and execution phase activities
Experience working with SCRUM/Agile methodologies on enterprise-level application development projects
Two (2) years of experience in a managerial or supervisory role, which includes managing personnel, developing/mentoring direct reports, and completing performance reviews to ensure continuous improvement, high performance, and employee retention
PMP or equivalent certification

Preferred Qualifications:
Seven (7) years’ directly related experience as detailed above
Prior project management work experience in Higher Education or Non-Profits or Government agencies within IT Departments
Experience coaching and training department team members on project management fundamentals and standards
Experience in Salesforce ecosystem
